Operations Assistant

Title: Operations Assistant

About National Summer Learning Association:

NSLA works to ensure every young person, regardless of background, income and zip code, participates in and benefits from a high-quality summer learning experience every year. We convene, support, and train a broad network of 15,000+ civic and education leaders from schools, districts and state departments of education, non-profit community organizations, and youth serving government agencies focused on offering summer learning opportunities to millions of students across the US who qualify for the National School Lunch Program. NSLA supports its network of leaders and program partners by investing in five strategic priorities: Program Quality, Partnerships, Policy, Public Awareness, and People (leadership development).

Position Context:

In response to the negative effects the pandemic has had on academic, mental and emotional well-being of young people, summer learning has been identified as a key response strategy of the Federal government to help students catch up and propel forward. $30 billion in additional support for summer learning programs was made available in the recent American Rescue Plan. As a result, NSLA has been growing rapidly and working tirelessly to support our partners and stakeholders across the country.

We are looking for a multi-tasking, entrepreneurial, organized, kind, and fun-loving assistant with a growth mindset who can join a small, fun, passionate and mighty team to support the work of the CEO and provide support to the NSLA staff as we execute many high-profile initiatives.

Responsibilities include:

Assume central coordination for the organization’s calendar of annual events, meetings, and other requests and proactively manage cadence for standing meetings (one-on-ones, team meetings, etc.).

Proactively manage the day-to-day calendar for the CEO and use discretion to make sure the CEO's time is well-utilized.

Monitor CEO inbox to effectively track scheduling requests.

Create scheduling systems and processes to maximize productivity for the CEO.

Exercise good judgment in assessing priorities and working with confidential information.

Organize preparatory and logistical materials for meetings and events.

Maintain meeting notes and records for internal and external meetings and manage follow-up as necessary.

Coordinate travel logistics including trip itineraries, flight bookings, hotel reservations, car services, meals and activity planning.

Coordinate operational support for internal team members and vendors as needed.

Manage all operational support, including materials, for board and committee meetings.

Build and maintain strong relationships with internal team members and external stakeholders to ensure seamless communication.

Track and submit monthly expense reports.

Support strong partner relationships by representing NSLA to other organizations, maintaining a high level of professionalism and rapport-building

Required Education and Experience:

Bachelor’s degree and/or relevant work experience required

Significant experience supporting fast-paced work environments and executives

1-2 years of work experience in non-profit, education, or youth development is a plus

High level proficiency in Microsoft Office Suite, Zoom; ability to quickly learn new software and troubleshoot technology, including NEON (donor and database management)

Salary and Benefits:

Starting minimum salary is $55,000 with a competitive range commensurate with candidate experience. NSLA offers a flexible work environment and competitive benefits package, including matching retirement plan, health and dental, and paid time off.

Program Manager

Responsibilities include:

  • Serve as the central coordinator of all Program team-related work, including creation of annual calendar, fielding requests, and connecting partners to resources
  • Create scheduling systems and libraries of materials to ensure the efficiency of the Program team’s work
  • Represent NSLA at meetings and conferences in a variety of roles, including lead presenter, co-facilitator, and liaison at exhibit halls.
  • Draft and thoroughly review agendas and materials for all presentations
  • Organize preparation and logistical materials for presentations and events
  • Review, summarize, and share summer learning related research with NSLA staff and partners
  • Build and maintain strong relationships with internal team members and external stakeholders to broaden the reach and further the mission of NSLA
  • Support strong partner relationships by representing NSLA to other organizations, maintaining a high level of professionalism and rapport-building
  • Coordinate travel logistics for Program team related travel, including trip itineraries, flight bookings, hotel reservations, on-the-ground travel, meals, and activity planning
  • Track and submit monthly Program team related expense reports.

Required Education and Experience:

  • Bachelor’s degree and/or relevant work experience required
  • Significant work experience in education and youth development required
  • Experience within classroom and school district environments preferred
  • Proven success leading professional development sessions and an enthusiasm for public speaking
  • High level proficiency in a variety of both in-person and virtual presentation facilitation tools
  • Strong written communication skills required
  • Passion for organization and attention to detail
